Cancellation Policy

When you are creating your property you need to setup a cancellation policy. 


Its possible to have just one cancellation policy or multiple policies applicable for different travel agencies. 


Cancellation policy can be setup as a Standard cancellation policy or a Non-Refundable cancellation policy.  


To create a cancellation policy please go to My Properties. Click on your property and choose the tab above called Cancellation Policies.


Click on Add Cancellation Policy




Create a Standard cancellation policy 


1. Add the name and a short description



2. Cancellation policy start time.  


Its possible to align the cancellation policy with your check in time. 

If no start time is added the cancellation policy will be valid from midnight. 



3. Grace period


Its possible to cancel a booking without fee inside a certain time period after it was created. Normal cancellation policy does not apply. 



For example if a travel agency will create a booking for the following day. An hour after it was created the travel agent realizes it needs to cancel the newly created booking, since the grace period is valid, no cancellation fee will be applicable for the booking. If a grace period is not activated then normal cancellation policy will apply. In this case the property can charge a 100% fee since the cancellation was done after the 48 hour window. 


4. Room Range 


Property can choose to have a standard policy valid for all rooms. 

It is possible to put up different ranges on the number of rooms or the time range when the booking is cancelled. 



If you want to put have the policy dependent on the room and time range please click on New Range. 


Please keep in mind what the first ladder should be, it can be thought of as valid for FIT and then group policy. 


See picture below: 1-4 rooms have a 48 hour cancellation policy. The next room range is 5-15 rooms and the time variation can be chosen from hours, days, weeks or months. 




You can have multiple time setups on the same room range. To get a new line press the green plus. 




To add the remaining rooms of your property please click on New Range.



Travia will automatically add the remaining rooms. Please note this can be easily amended if needed. 



If the cancellation policy is valid for all number of rooms the property has to offer on Travia please press Save cancellation policy. 



Create a Non-Refundable cancellation policy


1. Choose the setting of Non-Refundable. What is valid is displayed as gray. 



2. Add a name for the policy and a short description. 



3. The option of adding a Grace period. 

A booking can be cancelled without fee in a certain time period after it was created. 



To save press Save cancellation policy.


**Please note existing cancellation policy cannot be changed from standard to non-refundable.
